Procurement & payables

Onboard suppliers in minutes, with every detail checked

Send a link instead of chasing documents over email and WhatsApp. Suppliers fill a simple portal, their KYC documents are read and cross-checked, and approved suppliers flow straight into your accounting system.

01The problem

Where the time goes today

  • KYC documents collected over email and WhatsApp, then retyped into the vendor master
  • Typos in GSTINs, PANs and bank account numbers that surface only at payment or GST filing time
  • Bank details that do not match the supplier's name — a classic payment-fraud risk
  • No record of who checked what before a supplier was approved

02Checks

Verified before you use it

  • All required documents uploaded and read
  • GSTIN format and checksum
  • PAN format (AAAAA9999A)
  • PAN matches characters 3–12 of the GSTIN
  • IFSC format
  • GST certificate shows the same GSTIN as the form
  • PAN card shows the same PAN as the form
  • Cancelled cheque shows the same account number and IFSC
  • Legal name agrees across the form, GST certificate, PAN card and bank account holder
  • Udyam (MSME) number format, when one is given

04In the product

One screen to decide

Details, documents and every check side by side. Approve, reject with a reason or ask the supplier for changes — each decision is recorded.

Submissions, decisions and change requests are kept on each supplier with who acted and when; workflows can start on any of them.

05Workflow

How it runs day to day

Suppliers who live on WhatsApp get the invite there too: send it by email, WhatsApp, SMS or all three, from your own number and SMS gateway. WhatsApp & SMS invites

  1. Step 01

    Invite or share a link

Invite a supplier by email, WhatsApp or SMS, or put your public onboarding link on your website or in a WhatsApp message.

  2. Step 02

    Supplier fills the portal

A mobile-friendly page under your brand asks for company, contact and bank details plus the GST certificate, PAN, cancelled cheque and MSME certificate.

  3. Step 03

    Read and cross-check

Documents are read automatically and checked against each other and against what the supplier typed.

  4. Step 04

    Approve and sync

Approve, reject or ask for changes. On approval a workflow creates the supplier in Tally, Zoho Books, QuickBooks, your ERP, a sheet or your database.

07FAQ

Supplier onboarding questions

No. Each supplier gets a personal link (or uses your public onboarding link) and fills a simple, mobile-friendly page under your brand. They can save and come back later with the same link.

The checks run on the documents and the details the supplier enters: formats and checksums, the PAN inside the GSTIN, and whether the GST certificate, PAN card and cancelled cheque match the form and each other. There is no live lookup on the GST portal or a bank penny-drop. If you use a verification provider, a workflow can send the approved record to it through a webhook.

Yes, on plans with WhatsApp & SMS. Add the supplier's mobile number and choose email, WhatsApp, SMS or all three. The invite goes out with your own WhatsApp template or DLT-approved SMS template and the supplier's personal link, through your own WhatsApp Business number and SMS gateway. If one channel fails the others still go out, and every send is recorded in the supplier's history.

Ask for changes with a note. The supplier receives an email with the same link, fixes what you asked for and resubmits; every step is kept in the supplier's history.

Yes, if you want. With auto-approve switched on, suppliers whose checks all pass are approved straight away; anything else waits for a person.

Build a workflow that starts on the supplier approved event. It can create a supplier ledger in Tally, a vendor in Zoho Books or QuickBooks, or a supplier in SAP, Dynamics 365, NetSuite, Odoo or ERPNext (these connectors are in beta), add a row to a vendor-master sheet or database table, notify your team and call any webhook.

Yes. With AI extraction, fields are read from each document; without it, the checks look for the GSTIN, PAN, account number and IFSC in the text read from the documents (including OCR for scans and photos).
